We are seeking an experienced and detail-oriented Admin Supervisor to join our company and take charge of end-to-end courier management, IT asset coordination, vendor management, travel arrangements, accommodation bookings, and other logistics-related tasks. The ideal candidate should have a strong background in administrative roles with a focus on courier and logistics management. This position requires excellent organizational skills, attention to detail, and the ability to effectively communicate and coordinate with internal teams and external vendors.

 

Responsibilities:

 

Administrative Functions

Oversee the overall administrative functions like office security, facility management, office attendants, inventory tracking


IT Asset Coordination:

Maintain an accurate inventory of all IT assets, including hardware, software, and peripherals.

Coordinate with IT team members to facilitate the procurement, allocation, and tracking of IT assets.

Conduct regular audits to ensure proper usage and security of IT assets.

Coordinate with vendors and suppliers for asset repairs, replacements, and maintenance.


Vendor Management:

Identify, evaluate, and select vendors for various services, such as courier companies, travel agencies, accommodation providers, and logistics partners.

Negotiate contracts, pricing, and service level agreements with vendors to optimize cost and quality.

Monitor vendor performance and address any issues or concerns.

Establish and maintain positive relationships with vendors, ensuring effective communication and collaboration.


Travel and Accommodation:

Coordinate travel arrangements for employees, including flight bookings, hotel accommodations, and ground transportation.

Ensure adherence to company travel policies and budgets.

Manage travel-related documentation, including visas and travel insurance.

Provide assistance and support to employees during travel emergencies or disruptions.


Logistics Support:

Assist with other logistics-related tasks as needed, such as office supply management, event coordination, and facility maintenance.

Collaborate with cross-functional teams to ensure smooth operations and effective communication.

Identify areas for process improvement and implement solutions to enhance efficiency and productivity.


Courier Management:

Oversee the entire courier management process, including receiving, sorting, and distributing incoming and outgoing shipments.

Ensure proper documentation, labeling, and tracking of packages to ensure accurate delivery.

Liaise with couriers and logistics companies to negotiate rates, resolve issues, and maintain effective relationships.

Develop and implement standard operating procedures (SOPs) for courier management to streamline processes and enhance efficiency.

Coordinate with internal teams to ensure timely pick-up and delivery of critical documents, IT equipment, and other assets.

Qualifications and Requirements:

Bachelor's degree in Business Administration , Logistics, or a related field is preferred.

Proven work experience as an Admin Supervisor, Administrative Coordinator, or similar role, preferably in an IT company or a similar industry.

Strong knowledge and experience in courier management, IT asset coordination, and vendor management.

Proficient in using relevant software and tools for tracking and managing courier shipments and assets.

Excellent organizational and time management skills with a keen eye for detail.

Exceptional communication and interpersonal skills to effectively collaborate with internal teams and external vendors.

Ability to prioritize tasks, work independently, and meet deadlines.

Problem-solving skills with a proactive and solutions-oriented mindset.

Familiarity with travel and accommodation booking platforms and travel regulations is a plus.

Minimum of 6 years of relevant work experience in a similar role.
